Performance Dashboard

Overview

The performance dashboard shows how your club is tracking (booked value, bed nights and upcoming occupancy) on the first page you see after logging in to admin.

  • It appears below your action items on the admin home page.
  • It is visible to admins with the Bookings or Bookings Read role.
  • It updates as bookings change, with a short delay. The time it was last updated shows as “As at”, and the refresh button updates it straight away.
  • Use the Lodge filter to see one lodge or the whole club.

What’s on the page

The page has four sections, top to bottom.

SectionWhat it shows
Action itemsThings that need your attention, such as cancel requests and config dates that need updating. When there is nothing to do, it shows “No actions needed”.
By monthBooked value and bed nights for each month of the year, this year against last year. The solid line is nights already stayed. The dashed line is nights booked so far for future months. The total at the top includes both. Shaded bands show your season periods.
Season to dateBooked value and bed nights from the start of the current season to today, compared with the same calendar dates last year.
Next 12 weeksOccupancy for each week from today: beds booked against the lodge’s bed limit. If the lodge has no bed limit set, it shows bed nights instead.

Figures are counted by the night stayed, not the date the booking was made. A booking from 30 June to 2 July counts one night in June and two in July.

How the figures are worked out

Which bookings count

  • Confirmed and tentative bookings count.
  • Waitlisted, cancelled and in-progress bookings do not.
  • Hidden lodges are left out.

Bed nights

  • One guest staying one night is one bed night.
  • Guests on tariff types that don’t take a bed, and empty-bed bookings, are not counted. This matches the bed count on your booking matrix.

Booked value

  • Booked value is the amount charged on bookings, not payments received. It won’t match your bank deposits.
  • It is shown as invoiced, including GST where your club charges it.
  • Optional extras are included. Cancellation fees are not.
  • Free nights, and bookings an admin has priced at $0, count as bed nights but add $0 to booked value.
  • Tentative bookings that haven’t been priced yet are counted at their full booking price.
  • Bookings imported from a channel manager such as Smoobu are priced in that channel, so they count as bed nights with $0 value.

Occupancy

  • Occupancy is beds booked divided by the lodge’s bed limit for that week.
  • It includes any nights the lodge is closed, so a week with closed nights can look emptier than it is.

All dates use your club’s timezone.

Settings

Two settings in Site Config control the dashboard.

SettingWhat it does
Show the performance dashboard on the admin home pageTurns the figures and charts on or off. When off, action items still show.
Dashboard year runs January to DecemberSets the year used by the By month charts and the Year filter. Australian clubs default to July to June and US clubs to January to December. Change it if your club reports on the other year.

Common questions

Why doesn’t booked value match the payments we received? Booked value is what was charged on bookings, including future stays and unpaid tentative bookings. Payments, refunds and credits are not part of it.

Why does it say “No last-season data to compare”? There were no bookings on the same dates last year, or that history has been deleted.

Why do old months look different from last time I checked? Figures come from bookings as they are now. Editing or cancelling an old booking changes past months. Editing a tariff set in place can also change the price of old bookings. To avoid this, copy a tariff set for each new season rather than editing the old one.

Why does a past month include bookings that were never paid? Tentative bookings count until they are confirmed or cancelled. Cancel any that won’t go ahead to keep the figures accurate.

Can I see member types, tariff types or individual bookings? Not on the dashboard. Use the downloads on the Manage Bookings page for that level of detail.
