Booking data downloads

You can download booking data with related cost information with a variety of degrees of aggregation, so there is a download for every purpose.

All downloads are CSV files that open in your spreadsheet software. Filters that you set on your Manage Bookings page are applied to the download, then you click on the Download tab to set a date range and initiate the download.

Occupancy Reporting

To report bed occupancy numbers, several downloads are suitable.

This download includes a breakdown by tariff type and has a row for each room. If you have a tariff type that indicates no bed is occupied, you can omit this column and add the other columns, to exclude those guests. Or you can use a pivot table to report occupancy for each tariff type, or occupancy for each room.

If you only need occupancy (still includes tariff type breakdown, but not room), you can use

One row per night (above) is the best report to use when satisfying occupancy reporting requirements related to your lease. Just remember to exclude any column that indicates a person not occupying a bed.

The above reports include the calculated cost for each guest. If the Admin (Total) Price of the booking has been edited to be different from the calculated price, the calculated cost is not accurate. You can use this report to get a pro-rata cost for each person and the calculated cost, as well as bed-nights, using One row per person:

finally, the below report includes both calculated and pro-rata cost per guest, and duration in nights for each member/guest:

Note that reports not listed above are not suitable to report on bed-nights, because guests staying different nights are not accounted for.
